Practice Management Implementation
Electronic Scheduling
Electronic Scheduling ensures the growth of a practice by maximizing time spent in the office while helping to further drive production.
Schedule optimizes patient booking density and load balancing by creating different schedules for different days and for different durations depending on the visit types. Patients can be put in the wait list. No shows and cancellations are tracked, with automated prompts to fill canceled slots from wait lists. Mini triage notes prompt the scheduler to ask important questions or give instructions to patients at the time of making appointments.
Though Electronic Scheduler comes with all bells and whistles, most of the practices require only few basic features for day to day operations. We first work with the front-desk staff to understand the recurring challenges they face in patient scheduling and then recommend top three electronic scheduling products. Once product is selected, we implement the scheduler and train the front desk staff on day-to-day tasks related with the patient scheduling.
Electronic Billing
Today's complex medical billing environment requires a billing system that is fast, functional, and adaptable to fit your office work-flow. Basic tasks should be easy and intuitive, but the system should still deliver comprehensive tools that simplify claims follow up, data analysis, and other practice management tasks. Electronic Billing integrated with the electronic Charting helps meet these challenges
• When patients arrive at the practice, demographics are updated, insurance cards are scanned into the system, co-payments are collected and receipts printed.
• When used with the integrated Electronic EMR/HER, a claim is created with a single click on completion of the patient visit. Office and Contracted fee schedule linked to the procedures and prepayments are applied against the charges.
• Claims are scrubbed for correctness before they are queued for the paper or electronic processing. On posting of the electronic and paper EOBs, system notifies when payments don’t match contracted rates
• Patient statements are generated on plain paper or can be electronically uploaded to the clearing house for printing
• Tracks referrals, manage care authorization and notify the front desk and biller when referral thresholds have been crossed.

• A wide variety of Reports are generated including charge and payment tracking, utilization, profitability and adjustment analysis.
We highly recommend Practices to deploy Practice Management Products that have been developed from ground up in last five to seven years. The new products have the advanced features like claim scrubbing, seamless integration with the clearing house, electronic remittance posting and advanced reporting features to identify the areas that need attention to improve the A/R. It has been very difficult for the older Practice Management products to include new features because of the compatibility issues. We understand that not all practices are ready for the EMR/EHR. We also understand that migration of Patient and Insurance demographics from one Practice Management Product to another is not trivial. So our recommendation is to pick the product from a vendor that has seamlessly integrated Practice Management and EMR/HER Products so that EMR/HER could be deployed in future with minimal or no disruption. Once a product is selected, we work on planning, installation, customization and migration of the demographics from the existing Practice Management solution to the new solution. As part of the training we train the Billing Staff on the Tasks that are performed on daily, weekly and monthly basis.

Document Management & Conversion
Electronic Document Management
Electronic document management solution is the key to eliminate paper in a busy medical office. It allows you to rapidly scan and categorize old charts, paper documents generated from outside sources. It allows you to capture anything related to the patient chart -- lab results, color images, referral letters and other correspondence, video with sound, and images of insurance cards for reference purposes. You can even host and view files from third party vendor applications and devices. You can store custom forms such as Advanced Beneficiary Notices (ABN) and patient information forms for rapid access.
Enormous economic benefits can be realized by converting a paper-based medical office to a paperless record system. Medical Economics (December 1997) has estimated that the creation, tracking, storage and maintenance of paper records cost $8 per chart per year. Electronic records can be maintained for $1.00 to $2.00 per chart per year. With electronic records, there is also a reduced expense for real estate space that would otherwise be needed for paper records. Combining the tasks of imaging/document management with the reduced work of medical records management (filing, chart pulls, etc.) reduces labor costs by 50 to 100%.

Physicians who transmit prescriptions electronically to pharmacies earn an incentive payment of 2% of their total Medicare allowed charges during 2009, 1% during 2010 and 0.5% in 2011. Penalty of not using Electronic Prescribing will be 1% in 2012, 1.5% in 2013 and 2% in subsequent years.

Data Availability
We believe in always UP infrastructure for the clinics that are using EMR Systems. If the servers are down, physicians will not be able to see patients and front desk will not be able to check-in patients.
With our experience with enterprise environment, we take time to design the Infrastructure so that any failure in the CPU Board, Power supply or disks could not bring the server down. We also configure the system in RAID configurations with hot-swap disk capability so that data is continuously available all the time on disk failures.
Data Security & Compliance
Though most of the Server Software and EMR Systems have built-in advanced security features, not every clinic configure security features correctly.
